Happy Holidays from VG Connect
As 2011 winds down, we would like to say thanks to all our VG Connect customers for a terrific year. The partnerships we have built with our customers are for the long term and we are extremely proud of the services we provide.
We have experienced strong, continued growth in all aspects of VG Connect services. Our Virtual Meeting Rooms – vRooms -- on our video bridge has become a customer favorite; Gateway Service has made the issue of how to connect to videoconferencing systems outside your private network as easy as one phone call to Video Guidance; and our Managed Video Bridging Service, which takes all hassles and stress out of your multipoint videoconference, continues to be the backbone of the VG Connect.
The future looks bright for Video Guidance and our VG Connect customers, and we look forward to continuing to provide you with all your videoconference needs. If you would like more information on any of our VG Connect Services, call us at 952-831-7215.
New Client Access Portal
At Video Guidance, we are continually working to enhance and improve the service we provide to our customers. Our Help Desk team would like to introduce to you our new Client Access Portal, your primary communication channel with the Video Guidance Help Desk. If you haven’t already set up your account, you can do so online now.
The Client Access Portal allows you to create new help desk tickets and get quick updates on your open tickets we’re currently working on. Full details and status updates are available and you can also add notes and attachments. When creating new tickets, be sure to include as many details as possible so we can resolve issues quickly.

Scheduling appropriate Set-up and Meeting Time is Critical
- Consider your meeting set-up time when reserving Video Conference Rooms.
- Build in at least 15 minutes for room and meeting set-up prior to your meeting start time.
- This will allow you time to prepare and as such experience a productive, successful meeting.
- Establish all Meeting Site connections
- Adjust your camera for the best far-end view of your meeting room.
- Zoom in and focus on meeting participants to ensure greater communication and engagement of all participants at all sites.
- Make sure all meeting participants are in the camera view.
- If everyone is not able to fit into the camera view, establish presets so you are able to move the camera quickly and smoothly from one side of the room to the other for better and more engaged communication.

- Find the Selfview button so you know how to quickly check what view you are sending to the Far Ends.
- The camera captures everything – stay engaged and aware of your surroundings.
- Test any presentation connection you may plan to use.
- Be sure to ask the Far Ends if they can ‘see’ the content you’re sharing.
- Don't' be afraid to over communicate. Telling a Far End site, "I can't hear you", or "I can't see you" can mean a host of things. Be specific about what is going on so the issue can be quickly resolved.
- Assign a Meeting Facilitator so there is always someone paying attention to camera views, content sharing, layout views, and audio.
- State your name and site name when speaking so all participants know who is talking.
- Remember to set your microphone out for your meeting and consider where you are placing it so it picks up everyone in the room.
- Microphones are sensitive so make certain you use your mute button if you have a lot of background noises or are moving things around the table – such as a lunch and learn scenario.

Cloud Services
A system that allows users to upload data, resources, and software to remote servers making it accessible wherever they go. Generally this is hosted by a provider. Currently, some of the more popular cloud based providers are Dropbox, Google Docs, and iCloud from Apple. Video Guidance offers hosted cloud based conferencing through our VG Connect services.
Did you know…
…that video is going mobile. Now you can take your video conferencing calls with you anywhere you go. All major video conferencing manufacturers are working on solutions to provide high definition video conferencing to mobile devices and tablets. Polycom and LifeSize currently have mobile clients, and Cisco should be available in January 2012.
